ProProfs WebinarNinja now includes two powerful Zapier triggers that let you automate workflows based on attendee behavior:
Attendee Joins Webinar
Attendee Missed Webinar
These triggers help you react automatically when someone joins your webinar or when a registered attendee fails to appear. With Zapier, you can automatically notify your team, send follow-up emails, update your CRM, or run custom workflows with no manual effort.
React the moment someone enters your webinar room. Popular automations include:
Sending internal notifications
Tagging the attendee in your CRM
Starting onboarding or training workflows
Automatically reach out to people who registered but didn’t show up.
Common use cases:
Sending replay links
Triggering reminders for upcoming sessions
Re-engagement email sequences
Use Case: A sales team utilizes webinars as a primary lead qualification channel. With the Attendee Joins Webinar trigger, Zapier automatically sends a Slack message to the sales channel whenever a high-value prospect enters the webinar room.
This allows the team to prepare timely follow-ups while the lead is actively engaging with the content.
Below is the complete setup process using the new Attendee Joins Webinar trigger as the example. The steps for Attendee Missed Webinar are identical — simply choose the other trigger during setup.
Log in to your Zapier account.
Click Create -> Zaps.

In the Trigger section, search for or select WebinarNinja.

Choose one of the two new triggers:
Attendee Joins Webinar
Attendee Missed Webinar

Zapier will prompt you to sign in to WebinarNinja.
Select your connected account or add a new one.
Click Continue.

Go to the Test tab to fetch recent attendee activity.

Click Test Trigger. Zapier will load the recent events that match your selected trigger.
Zapier displays the matching attendee activity found in your account.

You’ll see the records related to the trigger you selected displayed here, just like in the screenshot.
Click Continue with selected record to proceed.
Next, select the app that should run when the trigger fires. Examples include:
Gmail
Slack
HubSpot
Webhooks by Zapier

After choosing your action app, select the specific Action Event that defines what Zapier should do. For example, if you choose Webhooks by Zapier, some available action events are:
Custom Request
GET
POST
PUT

Choose the option that best fits your workflow. For instance, use POST if you want to send attendee data to another tool via a webhook.
Depending on the action app, Zapier will ask for additional details. For a POST Webhook, you’ll need to specify fields, such as:
URL
Payload type
Data values
You’ll need to fill in these fields based on the Action Event you selected, as shown in the screenshot.
Click Continue when finished.
Go to the Test tab to send a sample request.

After configuring your action, switch to the Test tab and click Test Step to send a sample request, as shown in the screenshot.
Zapier will confirm whether the action executed successfully.
Once everything tests correctly:
Click Publish.
You’ll get the confirmation message.

Zapier will begin monitoring WebinarNinja for your chosen attendee activity:
Joins Webinar
Misses Webinar
Your automation will now run instantly whenever the trigger conditions are met.
