How to set up a Zap and send webinar registrants to a 3rd-party app through Zapier

Updated over a week ago

You will want to set up Zapier in order to get your webinar registrants automatically added to your connected app. There is one trigger available, New Registered Attendee, which allows Zapier to pull in registrants from your webinars and send them to your connected app. Get started with pre-built integrations or create your own.

Before creating Zap, be sure that your WebinarNinja account and your preferred 3rd-party app are both already connected with Zapier. Here's how to connect WebinarNinja to Zapier.

For this guide, we are making a Zap to add webinar registrants to MailerLite.

Step 1: On the Zapier dashboard, click Create Zap.

Step 2: Choosing a trigger app. Search for "WebinarNinja" and click on it when it comes up.

Step 3: Choosing a trigger. There is currently one trigger available, New Registered Attendee. Go ahead and click it then hit Continue.

Step 4: Choosing a WebinarNinja account. Choose the WebinarNinja account you want to use from the drop-down and click Continue.

Step 5: Pulling in sample registrants. You will want to pull in sample registrants to set up the Zap with. You will need to have registrants already in any webinar for this. Click Test trigger to proceed and once the test is done, click Continue.

Step 6: Choosing an action app. Search and choose the app in which you want your webinar registrants to end up. In this case, I chose MailerLite as an example.

Step 7: Choosing an action. Set up the action that your preferred app completes when Zapier pulls in a registrant from your webinar. You will want Create/Update Subscriber in this case. Click Continue.

Step 8: Choosing an account. Choose the MailerLite account you want to use from the drop-down and click Continue.

Step 9: Setting up the action. You chose Create/Update Subscriber as the action, so you will now be setting up how registrants are created/updated in MailerLite using the sample registrants pulled in from step 5.

Subscriber Group. In MailerLite, you manage your subscribers into groups. Search for or choose the group into which you want to add webinar registrants. In this case, we have a group in our MailerLite account called WebinarNinja.

Email. Select the email address pulled in from your sample registrants.

Name. You will also want to set up the name with the username.

You can set up the rest according to your preference, but they are optional.

Step 10: Scroll down the page and click Continue.

Step 11: Sending sample registrants. To make sure the Zap works, you will want to do this step and send the sample registrants to MailerLite.

Scroll down the page and click Test & Continue.

You should now see the sample registrant in MailerLite after the test is successful. Click Turn on Zap to enable it.

Step 12: A pop up window will appear and you can click on Go to my Zaps to see all your created Zaps.

Step 13: You can give it a name for your own reference. Click Name your zap and you will be directed to a different page to edit the name. You can also toggle the button on/off to enable it later.

Zapier works every 15 minutes to see if you have any new registrants to your webinar. When it finds registrants, it will complete the action you set up for it.
