How to Automate Webinar Registrations Using Zapier

Zapier lets you automatically register attendees for your ProProfs WebinarNinja webinars using data collected from apps like Stripe, Calendly, Google Sheets, and Facebook Lead Ads. This helps you streamline signups, reduce manual work, and ensure every lead is registered correctly.

Use Case: A marketing team uses Facebook Lead Ads to promote their webinar. Once a new lead form is submitted, Zapier instantly registers the lead in WebinarNinja. This ensures that the webinar registration list is always up to date, and new leads are immediately added to the reminder and follow-up sequence.

Automate Webinar Registrations Using Zapier

Step 1: Create a New Zap

• Log in to your Zapier account.

• Click "Create" -> "Zaps" to begin building your automated workflow.

Step 2: Choose Your Trigger App

• Select the app that will trigger the registration. Examples include:
  • Stripe → New Payment
  • Calendly → Invitee Created
  • Google Sheets → New Row
  • Facebook Lead Ads → New Lead
     

• Choose any trigger event.

• Select your connected account or add a new one.

• Go to the Test tab to fetch recent attendee activity.

Click Test Trigger. Zapier will load the recent events that match your selected trigger.

Viewing the Example Records

Zapier displays the matching attendee activity found in your account.

You’ll see the records related to the trigger you selected displayed here, just like in the screenshot.

Click Continue with selected record to proceed.

Step 3: Add the Action – Webhooks by Zapier

• Click Action.

• Search for Webhooks by Zapier.

• Select POST as the action event.

Step 4: Configure the POST Request

In the POST settings:

Zapier will use these fields to send the registration details to WebinarNinja.   

Step 5: Test the Zap

Zapier sends a test registration to WebinarNinja. If successful, the test registrant will appear in your webinar’s Registration List.

Step 6: Publish Your Zap

Once everything tests correctly:

• Click Publish.
• You’ll get the confirmation message.

After enabling the Zap, every new trigger event (payment, booking, form submission, etc.) will automatically register the lead in your selected webinar.
